What kinds of documents (files) can / should I backup with your service?
You can backup any type of important document or file. Our secure document backups let you protect documents in electronic or print form, such as insurance policies, medical records, tax returns, financial papers and contracts, vital records, birth certificates and passports, emails, important receipts and warranties, or even business documents such as invoices.

Why is your service better than creating a backup on a disc or my hard drive?
Because ClaimProof offers remote backups, and your documents are secured in our online vault, they’re protected separately from your original documents. For example, if you suffer a house fire, and you lose your original documents in that fire, it is very likely any hard drive or disc backups would also be destroyed. ClaimProof ensures that one unfortunate incident can’t destroy all copies of your important documents and files thus leaving your life, family or business in ruins.

How can file backups help me if I lose my originals?
In some cases (such as email backups, files listing your common login and password information, etc.) the backup is as good as the original. Even copies of receipts for large ticket items (which you may need for insurance purposes or product returns) can be as good as the originals, allowing you to cut down on receipt clutter by storing them virtually, or protect yourself from lost, faded, or damaged purchase records. Even the IRS will accept digital copies / scans of your receipts if you're ever audited! In other cases (such as a lost birth certificate or stolen passport), you won’t be able to use the backup copy in place of the original document directly. Your backup will, however, make it easier for you to secure a new original document from the issuing organization by giving you all pertinent information needed for your new document application.

Security

Will my files be secure?
Yes. We offer several security features to protect your documents and files including 128 bit encryption of your files in transit and on-site and the use of a secure socket layer (SSL) certificate. SSL encrypts everything sent to and from your computer with a 1024-bit RSA key. We also offer encrypted logins and sessions, password-protected account access, and in-cloud firewall network protection. Your document backups will also be physically stored in a secure repository using the latest cloud computing technology. As a sign of ClaimProof’s commitment to your documents’ security, we are also a proud recipient of a TRUSTe Web Privacy Seal.

Will anyone else be able to view or access my files?
No. We don’t access your individual documents (when you upload, or otherwise send them, they are zipped / compressed until you choose to download them). Your files and documents can only be accessed with your member name and password, and only by individuals that you choose to share that information with (or additional members you’ve added to your account, based on the permissions you choose to set for them)..

What is Cloud Computing?
Cloud computing offers greater protection against data loss compared to traditional practices of storing a single copy of a file on a single storage device or drive. Instead, all or parts of the encrypted files are automatically, and securely, copied to multiple storage devices in physically-separated locations. If problems arise at one location, your files won’t be lost.

How do I backup documents or files to my ClaimProof vault directly from my hard drive?
Log into the member area of your ClaimProof account, and click the arrows next to the category and subcategory in your vault to locate the folder where you would like to save your document backup. Click that folder, and a link will appear on the right side of your vault screen with the option to “Add document(s).” Click that link. To upload a file from your hard drive, click the “browse” button. Locate the file, and then click the “upload” button.

How can I be sure that my backups were successful after uploading a file from my hard drive?
You can login to your ClaimProof account at any time to view available backups. Backups that were uploaded from your hard drive show up instantly in your account and are then ready for viewing.

Backup > File Upload via Email

How do I backup documents or files to my ClaimProof vault via email?
Log into the member area of your ClaimProof account, and click the arrows next to the category and subcategory in your vault to locate the folder where you would like to save your document backup. Click that folder, and a link will appear on the right side of your vault screen with the option to “Add document(s).” Click that link. To backup a secure document or file via email, highlight the option which states “Send one or more files via email, or forward existing email.” When you do that, you’ll be given the ClaimProof email address as well as a special code that you must use as the subject of your email. That code allows us to automatically backup your emailed documents to the folder you chose. If you wish to backup files via email to multiple folders, a separate subject code must be generated and used for each folder that you want to send documents to.

How can I be sure that my backups were successful after emailing a file?
You can login to your ClaimProof account at any time to view available backups. Email backups show up in your account in approximately five minutes after sending the email and are then ready for viewing.

Backup > File Upload via Unique Fax System

How do I backup documents or files to my ClaimProof vault via fax?
Log into the member area of your ClaimProof account, and click the arrows next to the category and subcategory in your vault to locate the folder where you would like to save your document backup. Click that folder, and a link will appear on the right side of your vault screen with the option to “Add document(s).” Click that link. To fax a hard copy document to your ClaimProof vault, instead choose the option that states “Send document via fax.” A “click here” link will appear below. Click that link to access and print a fax cover sheet. This fax cover sheet includes a special barcode that allows us to automatically save your faxed documents into the folder you have chosen. Further instructions can be found on your fax cover sheet. If you wish to backup documents to multiple folders, a separate cover sheet must be used for each folder’s backups.

How do you save and store documents that are faxed to ClaimProof?
If you fax a document, it will be converted to PDF format and can be viewed and printed using Adobe’s free Acrobat Reader.

What is your fax number for fax document backups?
In the U.S. and Canada, you can fax documents to us Toll Free at 1-866-291-5058. International users (such as when faxing documents while traveling overseas) should use the following ClaimProof fax number: +1 212 857 4866.

How can I be sure that my backups were successful after faxing a file?
You can login to your ClaimProof account at any time to view available backups. Fax backups show up in your account in only one minute after faxing and are then ready for viewing.

Does the fax cover sheet count towards my monthly fax page limit?
No. Only pages of your actual documents count towards your limit.

Backup 911

How do I backup hard copy (paper) documents into my ClaimProof vault?
If you have a scanner you can scan the hard copy documents into your computer and then follow the instructions for the directly from your hard drive backup option. Or to make things easy you can simply send the hard copy documents via fax and just follow the fax backup instructions.

The words "documents" and "files" are mentioned many times on the ClaimProof website, do they mean the same thing?
Yes. Anywhere you see the words "documents" or "files" on the ClaimProof website -- they are interchangeable terms and mean the same thing. A "document" is the same as a "file". You can put documents (or files) into folders and a single document (or file) can have multiple pages.

How long will it take to backup my files?
When you upload documents directly through the ClaimProof site, your backups will be available almost immediately. While usually much faster, email and fax document backups may take up to an hour to show in your account.

Can I backup multiple files at once, or do I need to submit them each separately?
You can submit multiple files or documents for secure backup at once. You will be able to retrieve them separately.

Can I manually remove files from your servers / from my account?
Yes. You can add and delete document and file backups manually at any time.

How many files can I backup into my ClaimProof vault?
The number of files you can backup depends on your current service plan. Please view the Service Plans page to view your limit.

Organizing and Managing Documents

How will my data backups be organized?
You get to set up your own file / document organization by creating categories, sub-categories, and folders to make finding your document backups quick and easy.

How can I create new categories, subcategories, or folders for my document backups?
Log into your ClaimProof vault, and click “Manage your categories, subcategories, and folders.” You can add a folder by typing its name into the first field, and highlighting the category and subcategory you want the folder to appear under from the drop-down menus below. If you want to create a new category or subcategory, click the “Add a category” or “Add a subcategory” link to the right of either drop-down menu.

Can I search for files in my ClaimProof vault, if I can’t remember which category or folder they’re saved in?
Yes! Our in-vault search tool lets you search for files based on categories, subcategories, folders, or file names, without searching actual file contents (for added security). To make this search feature most effective, use keyword-rich or descriptive file names. For example, if you’re backing up business invoices, you may want to save them by the invoice number or by the invoice date and customer name. Or, if you use ClaimProof to secure personal documents, you may want to save with family member names included. If you wanted to pull up all records pertaining to your son (we’ll call him Andy), you can do that by searching for his name if you included it in the file names (so a search for “Andy” might turn up a copy of his birth certificate, passport, report cards or school transcripts, or any other items saved relating to that family member).

Retrieving Documents

Will I be able to view my files online?
You will need to download the compressed version of the files to be viewed remotely.

How do I download my document backups?
Log into your ClaimProof vault and click the arrows next to the category and / or subcategory housing the file(s) you wish to download. Open the folder with your backup. To the right, a list of all files saved in that folder will appear. Click the “download” link. If you use Windows, you will be asked to either open the file or “save as.” Choose “save as,” and pick a location on your hard drive to save the file (such as your desktop). Once the file is downloaded, you will need to unzip / decompress it in order to view and print the document.

How can I view a zipped file or folder?
When you download document backups, you will receive a .zip file. You will need to de-compress / extract the files from the compressed download. For most customers using Windows, this functionality is built into your operating system. Simply right-click the .zip file / folder and click “extract.” This will take you to a file extraction wizard where you’ll choose where to save the extracted files. If this functionality isn’t built into your system, you can use a program such as WinZip to decompress your files.

Will I be able to print copies of my files?
Once you have downloaded and decompressed your document backup, you will be able to open it and print it from its corresponding software application (for example, if you upload a Microsoft Word document, you will be able to access it and print it through that program; if you fax a document, it will be converted to PDF format and can be viewed and printed using Adobe’s free Acrobat Reader).

Adding Users / Setting Up Groups

Can I add another user to my account?
Yes. Most of the ClaimProof service plans feature multi-user functionality.

How do I add another user to my account?
If your service plan allows you to add additional users, first login to your account. On the left-hand side of the page, click the “manage users” link. Click “add user,” and enter the required information for the secondary user. From this screen, you can also decide whether or not to add a user to a group, offer custom permissions, or offer full access to the ClaimProof vault.

Can I delete a user or edit their access levels?
Yes. The primary account holder (and any users granted permission over other users) can edit user account permissions or delete users from their account at any time through the “manage users” section of their ClaimProof vault.

Can I let users share login credentials?
While technically you can have multiple users share one login name and password (such as for one department in an office), it’s not recommended. It’s a good idea to have individual users setup with unique login credentials, so you can control access, change it, or revoke it (such as if one member of a department leaves the company and should no longer have access to the private files in your vault).

Can additional users upload files or only view them?
You get to decide if additional users on your account are able to upload files, create categories and folders, and more when you setup their user permissions.

What is a group?
Groups allow you to grant access and permissions to your ClaimProof vault in different levels. For example, if a company wants to grant access only to the taxes folder to members in the company’s accounting department, they would create a group called “accounting” (or whatever they want to name it), and set permissions for those members all in one place.

How do I setup a group?
Log into your ClaimProof account, and click “manage users.” Then click the “add group” link. Enter a name for your group, and choose the general permission options (such as whether or not group members can create folders, upload files, delete files, or manage other users). Then choose the document access levels (you can select categories, subcategories, or folders that members of this group will be able to access based on the permissions you set). Click “add group” at the bottom of the page to save your settings.

Do you have multiple packages if I need more space? How much does your service cost?
We offer a variety of packages at different prices to meet the needs of home users and business users alike. You can view prices and package details on our Service Plans page. Plans start as low as $9.95 per month or only $99.50 for an entire year if paid in advance.

Do you offer a free trial?
Yes! We offer a 30-Day free trial which allows you to secure up to 25 of your important documents. You may also use up to 5 fax page uploads at no cost.

Do you offer custom plans if I, or my company, need more resources than your existing plans offer?

What happens if I use more than my plan’s storage space?
If you try to upload files online in excess of your plan’s limits, the files simply won’t upload. If you email or fax documents to ClaimProof that put your account in excess of its limits, you will receive a notice from us letting you know that you need to remove files, or upgrade your account. If you don’t upgrade your account before your next billing date, and your account remains in excess of the allowable resources, you will incur overage charges with your next payment.

What is the overage charge for extra storage space?
The rate for additional storage space is $5.00 per Gigabyte (GB).

What happens if I need to store extra documents (files), but I’m still within my total available storage space within my plan?
If you need to add extra document (file) backups to your account over your plan limit, they can be added at $.10 per document (file).

How many hard copy documents can I send via fax to my ClaimProof vault each month?
Fax limits are determined by pages; not documents (and do not include the fax cover sheet with the ClaimProof barcode). Please view the Service Plans page to view your fax page limit. Customers paying yearly may use the full year’s worth of fax pages at any time during the year.

How much does it cost if I go over my fax pages limit?
If you need extra fax document backups over your plan’s limit, additional pages can be purchased at $.25 per page.

How does ClaimProof bill or process payments?
Payments are automatically-recurring through your credit or debit card.

Can I pay in advance, or do I have to pay monthly?
We offer monthly or yearly payment options.

Is there a discount if I pay in advance?
Yes. To find out exact discounts (which vary per package), please visit the Service Plans page.

What payment methods do you accept?
Currently ClaimProof accepts payments through credit or debit cards from the following: VISA, MasterCard, Discover, or American Express.


How do I change my plan or billing information?
Customers can upgrade or downgrade their document backup plans, or change billing information, at any time through the private member area accessible after logging into their account.

Technical Do's and Don'ts

Do I have to download or install anything on my computer?
No. The ClaimProof service is handled entirely online or through email and faxes. You need no special software to backup your files.

Are there any hardware or software requirements to use your service?
The only external software needed is a PDF reader and software to decompress the ZIP files when you retrieve your backups (most computers already have such software installed).

What if I don’t have a scanner?
If you don’t have access to a scanner, hard copy documents can be sent to ClaimProof via fax.

If I have to upgrade, do I have to backup all of my existing files again?
No. If you upgrade to a package with greater document storage limits, your existing backups will automatically be shown in your upgraded account.

Do any types of files not backup well?
While ClaimProof can technically backup any type of file or document within the limits of your plan, your ability to backup certain file types may depend on your processor or Internet connection speed (such as for large multimedia files).

Do you compress the files? Can the compression damage my documents?
We compress documents individually or in batches into a ZIP file, depending on how they’re submitted to ClaimProof (for example, if you email three documents to us at once, they will be added to a single ZIP file, and can be accessed separately only when you download and unzip the compressed folder). The compression we use won’t affect your files in any negative way.

Account Administration

I lost my password. Can you re-send it to me?
Of course! In the customer login box on the left side of the ClaimProof website, simply click the “forgot your password?” link. Enter the email address associated with your account, and we will email your password to you.

Where can I update my email address or account information?
Log into your ClaimProof vault, and click “Update profile.” You can update contact information, billing information, service level or payment period here.

How can I upgrade to a new service level?
Please login and click “Update profile” to upgrade or downgrade your service level to fit your document backup needs.

How do I cancel my account?
To cancel a ClaimProof account, simply login and visit the Update Profile page. Because ClaimProof bills in advance of the service month, cancellations aren’t immediate. Your account will be canceled before your next payment date, and you will not be billed further.

If I cancel my account, will you remove all of my documents from your servers?
Yes. Once your account is cancelled, your files will be removed from our secure backup servers.
